Sync AddCal RSVPs into HubSpot as contacts and meetings
=======================================================

Connect HubSpot to AddCal and every RSVP and calendar subscriber is created or updated as a contact, matched on email, with an AddCal property group and your custom form fields. A yes or maybe logs a scheduled meeting on the contact, so meeting-booked workflows, reminders and owner alerts fire. Inside HubSpot workflows, four AddCal actions send calendar invites, create RSVPs, cancel invites or wait for a reply and branch on it.

 What you can do

 What syncs between HubSpot and AddCal
--------------------------------------

 AddCal sends to HubSpot

### RSVPs and subscribers become contacts

Each RSVP, and each calendar subscriber with an email, creates or updates a HubSpot contact matched on email so nothing duplicates. An AddCal property group records the last event, response and date, and every custom form field lands as its own property.

 AddCal sends to HubSpot

### RSVPs logged as meetings

A yes or maybe logs a scheduled meeting on the contact with the event title, time, location and description, assigned to the owner you choose. A deleted RSVP marks the meeting cancelled, and a no can too.

 Receives from HubSpot

### Four workflow actions

Send a calendar invite, create an RSVP, cancel an invite, or wait for an RSVP, all from the HubSpot workflow editor. Wait pauses the enrolment until the contact replies, then branches on yes, maybe or no.

### RSVP history on the contact record

A card in the contact sidebar lists their RSVPs, invites and calendar subscriptions across all your events, each linking straight to the event in AddCal.

 Setup

 How to connect HubSpot to AddCal
---------------------------------

3 steps, no code unless a step shows some.

1. 1### Connect your HubSpot portal

    Open Connect, then HubSpot, in AddCal and click Connect with HubSpot. Pick the portal, approve the requested access, and you land back on the sync settings. You need the admin role on your AddCal team.

    [Connect HubSpot ](https://addcal.co/connect/hubspot)
2. 2### Choose what each RSVP writes

    Turn on contacts and meetings, pick a meeting owner so owner-based alerts fire, and optionally a static list every contact is added to. The AddCal property group is created in your portal on the first sync.

    ```
    AddCal property group
      addcal_last_rsvp_event        Last RSVP event
      addcal_last_rsvp_status       yes | maybe | no
      addcal_last_rsvp_at           Last RSVP at
      addcal_last_event_start       Last RSVP event start
      addcal_last_subscribed_calendar
      addcal_marketing_consent      From your RSVP form
      addcal_cf_<field>             One per custom form field
    ```
3. 3### Add an AddCal action to a workflow

    In the workflow editor, add an action and pick AddCal under integrations. Choose the event from the picker, then use the outputs in later steps: branch on the RSVP response, or drop the calendar links into a follow-up email.

    ```
    Outputs for later steps
      rsvp_response        yes | maybe | no
      rsvp_edit_url        Lets the contact change their reply
      event_url            AddCal event page
      google_calendar_url  outlook_url  office365_url
      yahoo_url            ics_url
    ```

 Use cases

HubSpot and AddCal use cases
----------------------------

### Webinar registrations straight into the CRM

Registrations on the AddCal event page arrive in HubSpot as contacts with a scheduled meeting, so the owner sees who is coming without an export.

### Kickoff invites from a deal stage

When a deal moves to onboarding, a workflow sends the kickoff invite from AddCal and waits for the reply before the next step runs.

### Different follow-ups for yes, maybe and no

One wait step, three branches: a yes gets the join details, a maybe gets a reminder, a no gets the recording offer.

### Lead capture from a public calendar

Anyone who subscribes to your calendar with an email becomes a contact, with the calendar name on the record ready for a nurture workflow.

 Good to know

HubSpot integration limitations
--------------------------------

### Booking pages cannot show AddCal events

HubSpot's scheduler API is read only for third parties, so AddCal cannot add event types to a meetings page. Logging each RSVP as a meeting gives you the same workflow hooks instead.

### Only static lists can be filled automatically

The list setting adds contacts to a static list. To segment on AddCal data, build an active list that filters on the AddCal properties.

### Sync pauses on downgrade

Leaving Business pauses the sync but keeps the connection, so upgrading again resumes without reconnecting. Contacts and meetings already in HubSpot stay as they are.

 What you need

Needs the Business plan or higher.

 Add-to-calendar links and the REST API are free on every plan. The Zapier app and Smart Links start on Premium. Webhooks and Dynamic Links are on Business. [ Compare plans ](https://addcal.co/pricing.md)

 FAQ

HubSpot and AddCal, answered
----------------------------

### Which AddCal plan includes the HubSpot integration?

Business. The integration is in beta, so expect it to keep changing. Leaving Business pauses the sync and keeps the connection.

### Which HubSpot tier do I need?

Contacts and meetings sync into any HubSpot tier, including the free CRM. The AddCal workflow actions need workflows, which start at the Professional tier of Marketing, Sales or Service Hub.

### Will it duplicate my contacts?

No. Contacts are matched on email. An existing contact gets the AddCal properties added, and a new one is created only when the email is not in your portal.

### What happens when someone changes their RSVP to no?

By default their HubSpot meeting is marked cancelled. Turn off Cancel the meeting on a no to leave it as last confirmed. Deleting the RSVP in AddCal always cancels the meeting.

### Does anything flow from HubSpot into AddCal?

Yes, through workflows. The send invite and create RSVP actions create the invite or RSVP in AddCal for the enrolled contact, and the event picker lists your AddCal events inside the editor.
